Our client, a leading international conservation organization dedicated to securing a future for Africa’s elephants and the ecosystems they depend on, is seeking a highly organized and proactive Executive Assistant.
This role will provide comprehensive support to the CEO, Board of Directors, and Executive Team. The ideal candidate will demonstrate strong critical thinking skills, anticipate needs, and offer effective solutions while maintaining the highest level of professionalism and confidentiality in a fast-paced, mission-driven environment.
Key Responsibilities:
Provide daily administrative and logistical support to the CEO, including travel and accommodation arrangements (local and international), meeting coordination, calendar management, document filing and retrieval, and preparing materials for board and executive presentations.
Serve as the main point of contact between the CEO and internal teams, board members, major donors, and partners — ensuring timely scheduling, minute-taking, and follow-up on action items.
Assist the CEO in planning for participation in high-level meetings and events, ensuring all necessary logistics and documentation are in place.
Act as the board liaison — managing communication, coordinating board meetings, and overseeing the preparation and distribution of relevant documents.
Ensure smooth operations of the Office of the CEO by managing expenses, maintaining effective communication flows across the organisation and with external stakeholders, and supporting the development of CEO presentations as needed.
Oversee timely execution of biannual performance reviews, and ensure that the office operates in a cost-effective, responsive, and professional manner in line with organisational standards.
Manage all logistics, travel, accommodation, and correspondence related to donor safaris while fostering respectful, professional relationships with all stakeholders, including staff, board members, donors, partners, and community representatives.
Qualifications:
Must have a relevant bachelor’s degree.
Proficiency in MS Excel and other relevant software.
